Volunteer Opportunities Minimize

Volunteer help is crucial in making this a successful year for our students in the McNeil Band/Guard!

If you would like to volunteer, please read the "Volunteering - Charms Instructions" (found on right side of this web page) to learn how to sign up using Charms. Active MHS Band or Guard students, or parents of active Band or Guard students, may log in to sign up extended family members as volunteers.

If you do NOT have a Charms account (you are NOT an active MHS Band or Guard student, or NOT a parent of an active Band or Guard student), then you may still volunteer by sending send an e-mail to volunteering@mcneilband.org . Please be sure to include the activity requested and date requested in the subject line of your e-mail. Please include your name, phone number and an e-mail address.

Band/Guard Booster Board Volunteer Opportunities

Fall Marching Season - August through December. (All concession stand, water crew, pit crew and chaperone volunteers will receive free admission to home football games.)

  • EVERYTHING DAY volunteers are needed one Saturday to help with all things Band and Guard related when we start a new school year (forms, lockers, show shirts, gloves, bow-ties, garment bags, duffle bags, hats, uniforms, shoes, game day meals selections, volunteer signup, pancake tickets, spirit merchandise sales, instrument rentals, fees collection, and much, much more).   
  • COLORGUARD SEWING volunteers pin, cut, piece together, sew, iron and burn material for flags. They also assist with constructing props.
  • UNIFORM SEWING volunteers adjust and hem uniforms before the marching season.
  • CONCESSION STAND volunteers work during McNeil varsity, junior varsity and freshman football games, and Deerpark and Cedar Valley seventh and eighth grade football games. Responsibilities include food preparation & setup, serving hot and cold foods, serving hot and cold drinks, taking orders & collecting money and cleanup after the game. (Many volunteers needed, numbers vary by location.)
  • PIT CREW volunteers set up and remove percussion equipment during varsity football games during half-time and at band competitions. (Need 12-14 volunteers per game or competition; regular participation is requested)
  • GAME DAY MEAL volunteers set up and serve meals to band/guard members at McNeil High School before leaving for football games. (Need total of 10 volunteers to assist the Coordinator.)
  • CHAPERONES travel to and from varsity football games and competitions with band/guard students and directors, sit with band/guard and escort students during games. (Need total of 8-10 volunteers for each game)
    • Background checks are required for all adults who wish to be a Chaperone for Football Games, Competitions or Band Trips. Background checks are common for many organizations in which volunteer adults work directly with minors. Only persons who have successfully completed the background check and have been approved by the McNeil Band Director will be eligible to be Chaperones.  Online Campus Volunteer Application Form (includes Background Check)
  • WATER CREW volunteers arrange bottled water delivery to the band/guard during all football games and competitions. (Need 4-6 volunteers.)

Miscellaneous Volunteer Needs Throughout the School Year

  • PANCAKE BREAKFAST volunteers are needed to coordinate ticket sales, solicit donations of food and supplies, set up, cook, serve and clean up.  (June to September)
  • CHAPERONES are needed for band/guard parties, competitions & spring band trip.
    • Background checks are required for all adults who wish to be a Chaperone for Football Games, Competitions or Band Trips. Background checks are common for many organizations in which volunteer adults work directly with minors. Only persons who have successfully completed the background check and have been approved by the McNeil Band Director will be eligible to be Chaperones.   • H-E-B CARD NEIGHBORHOOD REPS provide access for Band/Guard Booster families to purchase H-E-B cards. (Need year-round assistance.)
  • SILENT AUCTION volunteers solicit business donations and assist with the silent auction. (NOTE, there is not a silent auction every year.)
  • COLOR GUARD SEWING volunteers assist with sewing color guard flags and props.

Spring and Summer Committees

  • The NOMINATING COMMITTEE works together to find volunteers to serve on the Band/Guard Booster Board; they will present a slate of officers to the Booster organization for vote. (5 volunteers needed during Spring.)
  • The AUDIT COMMITTEE audits the Booster’s finances at the end of the school year. (3 volunteers needed during Summer.)

Next Year’s Needs

  • The VARSITY STAND MANAGERS coordinate the varsity football game concession stands. Responsibilities include ordering food through Concessionaire, coordinating volunteers, setup and preparation of food, serving food, collecting money and cleanup after the game.
  • The JUNIOR VARSITY CONCESSION STAND MANAGERS coordinate all junior varsity football game concession stands. Responsibilities include ordering food through Concessionaire, coordinating volunteers, setup and preparation of food, serving food, collecting money and cleanup after the game.
  • The FRESHMAN CONCESSION STAND MANAGERS coordinate all freshman football game concession stands. Responsibilities include ordering food through Concessionaire, coordinating volunteers, setup and preparation of food, serving food, collecting money and cleanup after the game.
  • The DEERPARK MIDDLE SCHOOL CONCESSION STAND MANAGERS coordinate all Deerpark Middle School 7th and 8th grade football game concession stands. Responsibilities include ordering food through Concessionaire, coordinating volunteers, setup and preparation of food, serving food, collecting money and cleanup after the game.
  • The CEDAR VALLEY MIDDLE SCHOOL CONCESSION STAND MANAGERS coordinate all Cedar Valley Middle School 7th and 8th grade football game concession stands. Responsibilities include ordering food through Concessionaire, coordinating volunteers, setup and preparation of food, serving food, collecting money and cleanup after the game.

The McNeil High School Band and Guard Boosters use Charms to schedule volunteers.

Instructions

If you are an active MHS Band or Guard student, or a parent of an active Band or Guard student:

(Please read all the instructions before beginning!)

Click the “Charms" link located in the Menu bar near the top of this web page.
Log into your Charms account.
Do either of the following.

1) Click on the button labeled “calendar.”
2) Navigate from month to month, and scroll to see all events in a calendar view
3) Look for Events that say “Need Volunteers….” and/or have a “Hand icon.”
4) Click on the hand icon.

OR

1) Click the button labled “volunteers.”
2) Select an event from the drop down list.
3) Click the “Show Volunteer Needs” button.

In any open rows on the Volunteer Sign Up List, type your Name, Phone Number and E-Mail address, then click the “Sign Up” button. (Please Note: your phone number and e-mail address will not be displayed on the online schedule; these will be seen and used only by the Volunteer Coordinator.)
Click the word “Main” or “Calendar” or “Volunteers” on the menu bar and sign up for more events!

Active MHS Band or Guard students, or parents of active Band or Guard students, may log in and use the steps above to sign up extended family members as volunteers.

CHANGING AFTER SIGN UP OR REMOVING YOUR NAME

If you need to change information after sign up or withdraw from an event, send an e-mail to volunteering@mcneilband.org. Please be sure to include the name and date of the activity. If you are unable to report in at your scheduled time, please call the contact name shown for that specific event or your crew representative.
